About Lino BV
Lino BV is a customer of APPSeCONNECT. appse ai is APPSeCONNECT's own product, built with significantly more advanced automation and AI capabilities. This case study has been adapted to reflect how Lino BV's use case would run on appse ai today.
Lino BV, based in Werkendam, Netherlands, with operations also in Hürth, Germany, is a supplier of dried flowers, grasses, and natural decorative botanicals, serving wholesalers, retailers, and floral designers across international markets.
The operational challenge
Lino BV ran WooCommerce as its storefront and SAP Business One as its ERP, but every WooCommerce sales order required manual entry into SAP B1, with sales quotes and invoices created manually, causing processing delays, data-entry errors, and significant staff time spent on repetitive tasks. Product details and customer information were managed separately in WooCommerce and SAP B1, so updates in one system did not automatically reflect in the other, leading to duplicate or mismatched customer records and doubled effort updating both systems. Stock levels were updated manually, creating a lag between actual and displayed inventory that led to overselling products no longer available, with the warehouse team discovering discrepancies only after order confirmation.
The problem
Running WooCommerce and SAP Business One as disconnected systems surfaced three specific problems for Lino BV:
- 01
Manual order processing
Every WooCommerce sales order required manual entry into SAP Business One, with sales quotes and invoices created manually, causing processing delays, data-entry errors, and significant staff time on repetitive tasks. Our team was constantly catching up with orders. By the time they entered SAP, the day was running behind.
- 02
Inconsistent data across systems
Product details and customer information were managed separately in WooCommerce and SAP B1, so updates in one system did not automatically reflect in the other, leading to duplicate or mismatched customer records and teams updating both systems separately, doubling effort. We had two systems holding different versions of the same information.
- 03
Outdated inventory levels
Stock levels were updated manually, creating a lag between actual and displayed inventory that led to overselling products no longer available, with the warehouse team discovering discrepancies only after order confirmation and replenishment decisions made on incomplete information. We were selling products we didn't have. That's not building a reliable brand.
This is the exact pattern appse ai exists to remove: a distributor's order, product, and inventory data locked inside its ERP, with the storefront running a day behind and the brand's reliability paying the price.
Why appse ai
Lino BV needed an integration that mapped its existing processes in both WooCommerce and SAP Business One, automated order-to-invoice creation and data sync without forcing workflow changes, and could scale with growing order volumes and product catalog.
appse ai connected WooCommerce directly with SAP Business One, mapping Lino BV's existing processes and configuring automation to align with current workflows, with built-in scalability for growth.
The solution: instant order-to-invoice, continuous sync & live stock visibility
Instead of manually entering orders and reconciling two systems, appse ai deployed three automated workflows across Lino BV's full order-to-fulfillment cycle:
- Automated order-to-invoice creation
WooCommerce orders are instantly pushed to SAP Business One as sales orders, with sales quotes and invoices created automatically and zero manual intervention required. What used to take hours daily now happens automatically before morning.
- Continuous data synchronization
Product information syncs automatically between platforms and customer records stay consistent, with updates in one system reflected immediately in the other. We don't worry which system has correct product info anymore — always synced.
- Real-time stock level synchronization
Inventory updates flow automatically from SAP Business One to WooCommerce, so the website reflects current availability instantly and overselling is prevented through live stock visibility. Our stock numbers are accurate now. That one change made a huge difference.
Each workflow runs as a closed loop: detect the event in one system, resolve it against the other, execute the update, and only surface an exception to a human when judgment is genuinely required.
The results
Orders move into SAP Business One instantly with no processing backlogs, product and customer data stays consistently accurate across both platforms, and live inventory visibility eliminates overselling:
- Orders move into SAP Business One instantly, with no processing backlogs.
- Invoice and quote generation automated, eliminating manual steps.
- Errors from manual data entry eliminated.
- Product and customer data consistently accurate across platforms.
- Stock numbers always reflect real-time availability, and overselling is eliminated through live inventory visibility.
- Warehouse and sales teams work with accurate stock data, and staff are redirected to growth initiatives, customer relationships, and product development.
